How to Import a Flat-Rate Plumbing Price Book into Housecall Pro

Every PlumbRate price book includes a HCP Services tab that lists only customer-facing service names, a description, a category and your final sell price. It never includes labor hours, material costs, your hourly rate or markups. This is a one-time transfer of flat-rate service prices, not live price synchronization, and PlumbRate is not an official Housecall Pro integration. These steps follow Housecall Pro's published help and have not been tested in a live account.

Import type: Direct import after a separate values-only file

Steps

  1. Finish reviewing Settings and the Price Book tab. The HCP Services tab links to your final sell prices.
  2. On the Import Instructions tab, type your Housecall Pro industry exactly as it appears in your account. Until you do, every row says SET INDUSTRY.
  3. Check that every pre-import check on the Import Instructions tab shows 0 (except the items you are about to set).
  4. Make a values-only copy: open the tab in desktop Excel, select all (Ctrl+A or Cmd+A), copy, then in a new blank workbook choose Paste Special, Values. This removes the formulas so the importer reads plain names and numbers.
  5. Save that copy as .xlsx or .csv.
  6. In Housecall Pro, open the Price Book import, upload the file, pick the sheet if asked, and map Industry, Category, Name, Description and Price.
  7. Spot-check several services in Housecall Pro against your Print Price Sheet before techs quote from them.

Caveats

  • Industry must match your Housecall Pro industry or the rows may not land where you expect.
  • Categories come from PlumbRate fixture groups. Rename them before importing if you want different names.
  • Custom services you added in blank Price Book rows are not on this tab. Add them in Housecall Pro by hand.
  • Uploading the full PlumbRate workbook directly can work because the HCP Services tab contains stored values, but a values-only copy is the reliable path after you change settings.
  • Blank custom rows are never exported, and a row with a blank name or $0 price is left empty and counted on the Import Instructions tab so you can fix it before importing.
