How to Download and Edit Your PlumbRate Price Book

Your workbook is an .xlsx file. Keep the original as a backup and make your changes in a copy.

Best editing experience: PlumbRate is designed to be customized using Microsoft Excel on a Windows PC or Mac. You can download and open the workbook on a phone or tablet, but some Excel features may be easier to use on a computer.

Lessons 1 through 12 were filmed in the current ProPlus Price Book. Pro shares the Editor, Materials Catalog and Print Price Sheet shown in the applicable lessons. Standard uses a different worksheet layout, so use the separate Standard demonstration below. The hourly-rate calculator and crew matrices are ProPlus features. Lesson 12 shows how to review your customer-facing service names, descriptions and prices before a manual export; it covers preparation only, not a completed CRM import, and there is no live sync.

Pro and ProPlus Price Books

These workbooks protect formula cells without a password so they are harder to break by accident. The blue cells are the ones you edit. Work in a copy.

  1. ProPlus only: start on Hourly Rate Calculator. Enter wages, paid time off, burden, truck costs and overhead. The rate it produces, rounded to the nearest dollar, feeds the hourly rate on Settings.
  2. On Settings, enter your company name, markups, minimum charge and rounding. In Pro and ProPlus, the rounding cell is a price ending from 0 to 9, and prices round up to end in that digit. ProPlus also has optional 2 and 3 person crew rates and an optional per-hour reduction for longer jobs on the crew price matrices. The reduction starts at 0.
  3. On Materials Catalog, update part prices to match your supplier. Every service that uses that part picks up the change.
  4. On Editor, review each service's labor hours, parts and quantities, and description. Use Price Override only when you want a set price for one service. Fill the provided blank custom service slots at the end of each category for your own work; those slots are already linked to Print Price Sheet.
  5. Check Print Price Sheet. If it says it is not ready, finish the services flagged on Editor, then print or save it as a PDF.

Standard and earlier books: add or edit a service safely

These workbooks are unprotected, which keeps them flexible but also means formulas can be overwritten. Work in a copy and check every changed price before using it. The Standard Price Book has two blank rows at the end of each category: type a name, labor hours and material cost and it appears on Print Price Sheet. To add more rows than that, follow these steps.

  1. On Price Book, choose an existing service row in the correct category with the same formula pattern.
  2. Insert a row where you want the new service, then copy the entire similar row into it so all formulas and formatting come across.
  3. Change the service name, Labor Hours, and Material Cost. Leave the calculated columns intact. Keep the Material Markup formula to use the Settings default, or enter a different percentage for that one service.
  4. On Print Price Sheet, insert a matching row in the same category and copy a nearby service row.
  5. Enter the same service name on the print sheet and change its Price formula to point to the new row’s Sell Price cell in column H on Price Book.
  6. Confirm the service name and final price on Print Price Sheet before printing. Added rows and renamed service labels do not appear there automatically.

Optional: lock the formulas in desktop Excel

The Standard Price Book and earlier books ship unprotected, so every cell is editable. Worksheet protection is an optional extra step you can apply to a working copy to prevent accidental changes. It is not data security, and a password is optional. Without one, anyone can simply unprotect the sheet again.

  1. Work in your working copy, never the untouched backup.
  2. Select the cells you want to keep editable: B4:B9 on Settings, and on Price Book the Service, Labor Hours, and Material Cost cells, plus any Material Markup cells where you type your own percentage.
  3. Open Format Cells (press Ctrl+1 on Windows or Cmd+1 on Mac), select the Protection tab, clear the Locked checkbox, then select OK.
  4. On the Review tab, select Protect Sheet. Enter a password only if you want one, and store it somewhere safe.
  5. Test the result: change the hourly rate on Settings and confirm the calculated prices and Print Price Sheet still update, then check that a calculated cell no longer accepts a typed value.

If you protect Print Price Sheet, leave its prices locked. They are formulas linked to the Sell Price column on Price Book. Adding service rows generally requires unprotecting the sheet first. Microsoft’s own instructions cover the details: Protect a worksheet and Lock or unlock specific areas of a protected worksheet.

Use the Print Price Sheet in the field

The Print Price Sheet lists each included service with one lump-sum price, without showing your labor or material breakdown. Take that view with you rather than the working file.

  1. Finish your edits and check every value in Microsoft Excel on a computer first.
  2. Select only the Print Price Sheet tab, then print that sheet or save it as a PDF. In the Save As dialog, choose PDF and make sure only the active sheet is exported, not the whole workbook.
  3. Store the PDF somewhere your phone or tablet can open it, such as the Files app, OneDrive, Google Drive or an email to yourself, and keep it available offline if you work where signal is poor.
  4. In the field, open and search that PDF instead of opening the workbook.

Alternatively, open the .xlsx file with Microsoft Excel on the device and choose the Print Price Sheet tab. How it renders and prints depends on the device and Excel version; PlumbRate has not tested native behavior on every phone and tablet.

Microsoft’s steps for the PDF export are here: Save or convert to PDF or XPS.

The editable Price Book tab contains your internal labor hours, labor prices, material costs, and markups. When you present prices to a customer, use the customer-facing Print Price Sheet or its PDF, not Price Book.

Phones, tablets, and field-service software

Microsoft Excel can display the workbook on many phones and tablets, but available editing and printing controls vary by device and app version. Use Excel on a Windows PC or Mac for initial setup, detailed edits, adding rows, and printing.

PlumbRate is not an official integration and does not sync prices live. The workbook includes import preparation tabs for Housecall Pro, Jobber, ServiceTitan, Workiz and FieldPulse with customer-facing names and final prices only. Housecall Pro and Jobber can import after you save a separate values-only file or CSV. ServiceTitan needs values pasted into your own exported template. FieldPulse Prep is laid out in FieldPulse's pricebook template, so you copy its FieldPulseExport range into a new values-only file and import that. Workiz imports go through its support team. See the step-by-step import guides.
